Keeping of records is integral to water treatment plant operation. Pertinent and complete records are a necessary aid in controlling procedures, plant operation, and interpreting the results of water treatment. These records provide proof of plant performance and serve to justify future decisions, expenditures, and process recommendations. Records provide valuable information for release to customers and the public, are crucial documents in the event of any legal action and provide necessary information for future plant expansions and additions.
All handwritten records should be made in pen by the person conducting the test at the time the data is obtained. Personnel shall not use white-out or scribble results. Any corrections should be made with a single strike through of the incorrect data. The corrections should be initialed and dated. The Plant Superintendent and personnel shall work together to develop a filing system in which the data is easily obtained.
The four general categories of record keeping required by WTP personnel are listed:
- Sampling and analysis records as discussed in Chapter 8.
- Performance records associated with process as discussed in this chapter.
- Maintenance records associated with equipment as discussed in Chapter 10.
- Accident records associated with accidents as discussed in Chapter 12.
